1. Information We Collect

Toni Bot collects and processes the following data to provide its services:

  • Discord User ID: Unique identifier of your Discord account
  • Username: Your Discord username at the time of interaction
  • Server ID: Unique identifier of the Discord server
  • Message Content: Only for processing bot commands
  • Activity Data: XP points and levels for the level system
  • Birthdays: Voluntarily provided birth dates
  • Notification Settings: YouTube/Twitch channels you want to monitor

Minimum Age: Toni Bot is intended for users aged 13 and older, in compliance with Discord's Terms of Service. If you are under 13, please do not use this bot.

2. How We Use Your Data

Your data is used for:

  • Providing bot functions (level system, birthdays, notifications)
  • Managing voice channels
  • Displaying leaderboards and statistics
  • Notifications about streams and new videos
  • Birthday reminders

3. Data Storage and Security

  • All data is stored locally on our servers and is server-specific
  • Your data on Server A is separate from your data on Server B
  • If you leave a server, your data for that server remains
  • Data is not shared between different Discord servers
  • No passwords or sensitive personal information is collected
  • Data is only accessible to authorized bot operations
  • Regular backups ensure data integrity

3a. Storage Duration

Your data is stored for as long as you use the bot on a given server. Specifically:

  • Birthday data: Until you delete it using Toni birthday delete or contact us
  • XP/Level data: Until the server administrator resets it or the bot is removed from the server
  • Notification settings: Until you remove them via bot commands or contact us
  • All data: Can be deleted at any time upon request via our contact form

4. External APIs

The bot uses external APIs:

  • YouTube API: For retrieving video information
  • Twitch API: For checking stream status
  • Discord API: For all bot functions

The use of these APIs is subject to their respective privacy policies.

4a. Legal Basis for Processing (Art. 6 GDPR)

We process your data on the following legal grounds:

  • Art. 6(1)(b) GDPR – Contract performance: Data necessary to provide the bot's core functions (XP, levels, voice channels)
  • Art. 6(1)(a) GDPR – Consent: Voluntarily provided data such as birthdays and notification subscriptions
  • Art. 6(1)(f) GDPR – Legitimate interests: Technical maintenance, abuse prevention, and service improvement

5. Data Sharing

We do not sell, trade, or share your personal data with third parties. Data may only be accessed for:
  • Providing bot functionality within Discord
  • Technical maintenance and improvements
  • Compliance with legal requirements

6. Your Rights

Under the GDPR, you have the following rights. For your convenience, you can exercise most of these rights directly and instantly via automated self-service bot commands (e.g., to view, change, or delete your birthday and rank data):

  • Access (Art. 15): View your saved data instantly using the appropriate bot commands or by contacting us
  • Deletion (Art. 17): Delete your data instantly using the appropriate bot commands (e.g., Toni birthday delete) or by contacting us
  • Correction (Art. 16): Update your information instantly using bot commands or by contacting us
  • Data Portability (Art. 20): Receive your data in a structured, machine-readable format upon request
  • Restriction (Art. 18): Request restriction of processing under certain conditions
  • Objection (Art. 21): Object to processing based on legitimate interests
  • Opt-out: Stop using the bot at any time without consequence
Right to lodge a complaint (Art. 77 GDPR): You have the right to file a complaint with the competent data protection supervisory authority. In Germany, this is the Federal Commissioner for Data Protection and Freedom of Information (BfDI) or the data protection authority of your federal state.

1. Acceptance of Terms

By using Toni Bot, you agree to these Terms of Service. If you do not agree, please do not use the bot.

2. Bot Services

Toni Bot provides the following services:

  • 🎂 Birthday tracking and notifications
  • 📈 Server activity level system
  • 🔊 Temporary voice channel management
  • 📺 Stream and YouTube notifications
  • 🎭 Role distribution systems
  • 🌐 Multi-language support

3. User Responsibilities

Users must:

  • Use the bot in accordance with Discord's Terms of Service
  • Not attempt to exploit or abuse bot functionality
  • Provide accurate information when using bot features
  • Respect other users and server rules
  • Not use the bot for illegal activities

4. Prohibited Activities

The following activities are strictly prohibited:
  • Attempting to hack or reverse engineer the bot
  • Spamming bot commands
  • Using the bot to harass other users
  • Providing false information deliberately
  • Attempting to overload or crash the bot

5. Service Availability

We strive to provide reliable service, but cannot guarantee 100% uptime. The bot may be temporarily unavailable due to:

  • Scheduled maintenance
  • Technical issues
  • Discord API limitations
  • Force majeure events

5a. Premium Purchases, Expiration & Right of Withdrawal

Premium features and analytics are acquired via Discord Subscriptions. The following rules apply to all digital purchases:

  • Exclusion of Right of Withdrawal: By purchasing premium features (digital content), you explicitly consent to the immediate performance of the contract (unlocking the premium feature) and acknowledge that your right of withdrawal expires once the digital content is made available to you.
  • Expiration on Service Termination: All premium benefits and features are linked to the operation of the bot. In the event of a permanent shutdown or termination of Toni Bot services, all active premium benefits and subscriptions will expire without entitlement to refunds, compensation, or damages.

6. Limitation of Liability

Toni Bot is provided "as is" without warranty. We are not liable for any damages arising from the use of the bot.

7. Changes to Terms

We reserve the right to modify these terms at any time. Continued use of the bot constitutes acceptance of updated terms.
